North Dallas Hosting is a PageUP company providing managed WordPress hosting, website care and technical support. This policy explains how we handle information collected through the North Dallas Hosting website and Website Health Check. It also explains how to contact us about your information. Separately agreed services may involve additional information and handling arrangements.

Information you give us

When you request a Website Health Check, we collect your name, email address and the information you choose to provide about your business or organization. You may also provide a phone number, website address, current hosting provider, website functionality, problems you are experiencing, recent changes and the help you need. The form records your privacy acknowledgement.

Please do not submit passwords, access keys, other secrets, payment-card details or sensitive customer information. Describe a problem without including confidential records or personal information about other people. If access to your website, hosting or other accounts is needed, we will arrange an appropriate secure sharing method separately. Do not send credentials through this form or ordinary email.

Technical and source information

The form may record the page from which a request was submitted and browser or device information such as the user agent. It can also store optional referral, campaign, source and advertising click identifiers when these are supplied with a request. These fields do not mean that an automatic attribution or advertising-tracking system is currently operating.

The Health Check is configured to avoid storing your IP address in its Gravity Forms entry. Our hosting, security and email systems may still process IP addresses and ordinary technical logs to deliver the website, manage messages, investigate faults and protect against misuse.

How we use information

We use this information to review requests, understand website needs, communicate with you, assess whether our services are a suitable fit, recommend a next step and follow up about your enquiry. We also use information as needed to operate agreed services, maintain business records, troubleshoot problems and protect our systems.

Submitting a Health Check is a request for review and related communication. It is not a subscription to a marketing mailing list. We do not sell Health Check submissions as a marketing list.

Storage and service providers

Health Check entries are stored in the site's WordPress database through Gravity Forms. Notification emails create separate copies of submitted information in our email systems, and an acknowledgement may be sent to the address you provide.

Hosting, email, backup, website-support and security providers may process information as needed to provide their services. Relevant personnel and service providers may access information to review requests, operate services and address technical or security issues. We may also disclose information where needed to comply with applicable legal obligations or protect rights and security.

How long we keep information

We configure Health Check entries in Gravity Forms to move to Trash after 365 days. Cleanup runs on a schedule, so this may happen after the 365-day point rather than at an exact time. Moving an entry to Trash is not permanent deletion: it remains recoverable until the Trash is emptied. Spam and other unwanted submissions may be removed sooner. We handle requests for permanent deletion separately, including relevant copies outside the form.

Deleting a form entry does not automatically delete its email notifications, correspondence, exports or other copies. We retain those separate records according to their ongoing enquiry, service, business-record, security or legal purpose, and review them separately when handling a deletion request.

Deleted information may remain temporarily in backups until those copies are replaced or expire through the backup cycle. A request concerning your information therefore needs to account for the form database, email and other relevant copies.

Cookies and website technologies

We use website technologies needed to display content, operate forms, maintain relevant sessions and support security. Your browser may also communicate with providers that supply website assets, such as fonts. Browser settings can restrict cookies or similar storage, although doing so may affect some website features.

We may use analytics and advertising services, including Google Analytics and Google Ads, to understand how visitors use our website, measure marketing effectiveness and improve our services. These services may use cookies, device information, referral information, advertising identifiers and similar technologies. Where required, we will provide appropriate choices or obtain consent before using non-essential tracking technologies.

This describes potential future use. It does not mean that Google Analytics 4 or Google Ads tracking is currently active on this website. Appropriate notice and choice arrangements will need to be in place before a future deployment where required.

Questions and requests about your information

Contact admin@northdallashosting.com with privacy questions or to request access, correction or deletion of information associated with your enquiry. Include enough information to help us locate the relevant request, but do not email passwords or other secrets.

We may ask for information needed to verify your request and protect someone else's information. We will review relevant form entries and other copies separately. Some records may need to be retained for applicable legal, security or legitimate business purposes; where that affects a request, we will explain the relevant limitation.
